Executive Secretary / Medical

- Represents the administrators to the public by handling and screening incoming telephone calls; recording and transmitting messages; receiving and announcing scheduled visitors; screening unscheduled visitors .

- Enhances the hospital's customer service reputation by assisting patients, visitors, and physicians to resolve expressed concerns.

- Attend meetings to record minutes as per the demand of the section head or Director.

- Compile, transcribe, and distribute minutes of meetings.

- Arranges appointments for administrators by maintaining master administration calendar; rescheduling appointments when conflicts arise.

- Provides office services support for assigned Medical Departments by inputting data; proofreading documents; gathering information; preparing reports; maintaining files; ordering and maintaining supplies and equipment.

- Contributes to a safe and secure environment for patients, visitors, physicians and co-workers by following established procedures.

- Prepare agendas and make arrangements, such as coordinating catering for luncheons, for committee, board, and other meetings.

- Coordinate and direct office services, such as records, departmental finances, budget preparation, personnel issues, and housekeeping, to aid executives.
